Advanced order to cash solution contributes to sustainable employability in the construction and infrastructure sectors

To effectively automate a complex order-to-cash process surrounding the sustainable deployment of employees in the construction sector, Volandis, the knowledge and advice center in the construction and infrastructure sector, enlisted the help of FIQAS. With FIQAS’s Abillity® platform as the foundation, the construction sector now has the first advanced Prevention Care Portal (PZP). This portal keeps an individual’s occupational health records visible throughout their entire working life in construction or infrastructure. Regardless of the occupational health service provider and employer. This is unique in the Netherlands.

Enhanced process insight

In the PZP, 9 occupational health services now record medical examinations for employees covered by the Construction and Infrastructure collective labor agreement. In addition to the results of these so-called ‘PAGO’ examinations, employees also find their personal action plans for their own sustainable employability. Furthermore, reimbursements are automatically calculated, claimed, and financially settled within the PZP.

Volandis, in turn, gains better insight into the process. With the ability to optimize various process steps and thus improve quality. For example, they can maximize attendance and provide construction workers with, periodically, tailored prevention-focused services. In this way, on behalf of the social partners in the sector, Volandis aims to contribute as much as possible to the sustainable deployment of this professional group.

A central and integrated approach

Previously, occupational health services autonomously carried out various prevention activities and recorded them in their respective systems. Subsequently, these activities were billed to Volandis. This decentralized approach resulted in significant administrative burdens. Moreover, the billing process itself provided insufficient insight for developing improved prevention measures. In short, a change was needed. To gain more control over the process, Volandis aimed to achieve a more central and integrated approach that also meets the highest standards of privacy and security for occupational health data. Based on previous interactions, Volandis knew that FIQAS had extensive knowledge of both the occupational health domain and financial processes. Thus, the Aalsmeer-based software company was chosen to provide this solution.

Automated billing (‘Self-Billing’)

As an order-to-cash platform, Abillity® forms the foundation of the Prevention Care Portal. Occupational physicians, assistants, and DIA advisors (who provide ‘Sustainable Employability Analyses’) record various activities (‘orders’) performed. Depending on the type of activity or examination and any additional activities, reimbursement is automatically calculated and financially settled through ‘self-billing’. Without requiring additional efforts.

Functional application administrators at Volandis have full control over the configuration of the product catalog that underlies workflows and business logic around service delivery via the PZP. Thus, they can quickly respond to changes (short time to market). This new approach has greatly improved the quality and efficiency of the processes.

For example, we have worked on clarifying the invitation letters. And we now also send appointment reminders (SMS) from the PZP. The impact of these relatively ‘small’ adjustments is immediately noticeable.”

Employee Empowerment

Employees have much more control over their own sustainable employability. They have access to their personal records via a separate (also developed by FIQAS) Employee Portal. In this way, they can fill out the necessary questionnaires in advance – for example, via their smartphone. For occupational physicians, assistants, and DIA advisors, the new standardized approach is especially beneficial when clients change employers (and often switch occupational health service providers as well). The dossier travels with the employee, ensuring it is always complete and up-to-date.

Alexander concludes, “A truly central and integrated occupational health record seemed impossible for a long time, but the Prevention Care Portal proves it can be done. We prioritize the employee from all angles, contributing to their sustainable deployment. This is a significant gain for the health and well-being of the employee and therefore for their employer. But we’re not done yet. We are committed to ensuring that every talent from now on reaches their retirement age in good health and motivation by 2030.”
